A week before a large event
I'm getting ready to execute the largest event at IDEA, College Signing Day. I project manage this event and have the help of a wonderful committee who helps put on this large production. Yes, it's a production! We build the venue from scratch almost. It is honestly the most stressful thing in the world!
This past week has been rather hard. I've struggled with keeping organized and following my daily plan. I've been spending so much time going back and forth with our clients to ensure we have a solid event program book. I want to say that I roughly spent ~12 hours doing just that. How do I cut that time in half?
- Kick this portion off of the planning sooner
- Have someone else on the committee deal with this portion
- The deadline needs to be a month before the event?
There really is no correct solution here. All of the information was submitted on time. It happens! I had to come to term with this today. And you know what? Something else might come up tomorrow and I'll be there to help solve. After all, we are the Olivia Pope's of these events. We find a problem and we solve it. With grace!
How do I prepare a week before the BIG event week? I sleep. I rest. I go through my project plan over and over and over until I'm sure every "t" has been crossed and every "i" has been dotted. There is little to no room for mistakes. Every day this week is filled with some CSD related item. Whether it be sorting through old signage to visiting a vendor to look through the multiple linens that they have in stock. Yes! linens! What do I need linens for? Ha! Did you think this was the only event going on next week? Wrong! In true IDEA fashion, we are also hosting our Annual Dinner & Auction in support of our scholars. The money raised here will go to scholarships for our graduating class. My wonderful friend, teammate & colleague is leading this event and I'm so excited to see her imagination come to life!
